  • Cooperate with department Executive and leadership group about any special projects, assignments and company events.
  • Provide administrative services for projects that are consistent with corporate goals and objectives.
  • Responsible for management of day-to-day operations including; schedules, correspondence, e-mail, phones, purchase requests, customer requests, travel arrangements, presentations, etc. includes discretionary authority from department executive.
  • Screen and direct incoming calls, correspondence and internal and external clients/customers
  • Schedule appointments, conference calls and coordinate arrangements for meetings.
  • Support event planning as requested.
  • Prepare various reports, charts and graphs for use by leaders.
  • Support in budget maintenance as assigned.
  • Responsible for establishing and managing office policies and procedures, both to ensure compliance with corporate policy, but also to simplify and improve efficiencies
  • Create and maintain a comprehensive record keeping and filing
  • Organize flow of work by reviewing correspondence and determining importance of such, before distributing to appropriate personnel
  • Answer questions and furnish information or support to keep department leadership teams time free of minor detail work.
  • Route and answer routine correspondence to ensure timely and accurate response.
  • Responsible for coordinating internal requests and communicating equipment availability and estimated delivery.
  • Orders and maintains supplies, and arranges for equipment maintenance.
  • Organize necessary office/desk moves.
  • Prepare and process routine forms, documents and correspondence, such as timesheets, expense reports, requisitions, purchase orders, etc. following standard procedures.
  • Organizes and maintains file system, prepares copies of correspondence and other written materials. In some cases, records may be of a highly confidential nature requiring discretion.
  • Compose and edit correspondence as needed.


TECHNICAL COMPETENCIES (Knowledge, Skills & Abilities)

  • Must be highly organized and able to concurrently handle multiple priorities in a fast-paced work environment.
  • Ability to communicate effectively in oral and written form with senior management, employees throughout organization and external parties with proficiency in business writing.
  • Demonstrates high sense of responsibility, strong interpersonal and teamwork and is able to work without close supervision.
  • Must be able to accept and keep confidential information learned in the performance of the job.
  • Intermediate to advanced ability in Microsoft Office, Excel, Word, PowerPoint, and Outlook. Knowledge on Skye, SharePoint, Visio and Adobe PDF a plus.
  • Knowledge of proper formats for letters, proper grammar, spelling, and language usage; ability to produce neat, accurate correspondence.
  • Ability to project manage highly desirable.
  • Ability to use telephone, voicemail, conference call and video conference systems.
  • Ability to use, and sometimes teach, office equipment to run our business operations.
  • Ability to deliver high-caliber results
  • Drive to continuously impact department and company operations in a positive manner


Education And Experience

  • Minimum of 5 years’ experience in an administrative support role, preferably for an executive or high-level manager or large department.
  • High school diploma or general education degree (GED)
